Google Contacts
What does Google Contacts do?
Google Contacts copies the people in your Crisp CRM to your Google Workspace domain as shared contacts, so your whole team finds them in Gmail and Google Contacts. Every person with an email address becomes a contact with their name, company and phone number. When people are added, changed or removed in Crisp, Google Workspace follows right away.
The sync goes one way, from Crisp to Google Workspace. The plugin only touches the contacts it created itself. Your users, their personal contacts and the shared contacts your team made by hand are never changed.
For example, you can sync only people in your "customer" segment, so your sales team sees every customer in Gmail without filling the directory with leads.
Getting started
- In the Google Admin console, turn on contact sharing: Directory > Directory settings > Sharing settings > Contact sharing.
- Open the plugin settings in Crisp and press Connect Google Workspace.
- Sign in with a Google Workspace super administrator and allow every permission. Back in Crisp, the page tests the connection.
- Press Sync all contacts now once, then turn on automatic sync.
Plugin Settings
- Keep contacts in sync automatically: updates Google Workspace as soon as people are added, changed or removed in Crisp.
- Skip anonymous visitors: leaves out people who only have a generated name like "visitor1234". When turned off, they are synced with their email address as the name.
- Which people to sync: all people, only people in the segments you list, or everyone except people in those segments. People who no longer match are removed from Google Workspace on the next sync.
- When a person is removed in Crisp: remove the contact (default) or keep it. This also applies when a person no longer has an email address.
Plugin Actions
- Test connection: checks that Google Workspace still accepts the plugin. This also happens every time you open the settings.
- Sync all contacts now: creates, updates and removes contacts for all your Crisp people. Run it after connecting and after changing a filter. You can stop it at any time.
- Remove all synced contacts: deletes every contact the plugin created for this Crisp website, and nothing else. Turn off automatic sync first and type DELETE to confirm.
- Disconnect: stops the sync. Contacts already in Google Workspace stay there.
Data safety
Google Contacts passes your data from Crisp to Google Workspace and keeps nothing for itself.
- No database: contact details are read from Crisp and written to Google Workspace at the moment of syncing, and not stored anywhere else.
- Limited access: the plugin can only manage your domain's shared contacts and read its list of users. It cannot read mail, calendars, files or anyone's personal contacts.
- Only its own contacts: existing users and shared contacts are never overwritten, and each Crisp website only manages its own contacts.
- No personal data in our logs: our server logs contain only IDs, counts and error codes, never names, email addresses or phone numbers. Full error messages are shown only in your plugin settings in Crisp.
- Settings stay in Crisp: the connection details (with an encrypted sign-in), your settings and the result of the last sync are stored in your Crisp plugin settings.
FAQ
Where do the contacts show up? In Google Contacts under Directory in the left menu (not under "Contacts"), and in Gmail's address suggestions. Google can take up to 24 hours to show new and changed contacts.
The contacts don't show up in the directory. What now? Contact sharing is not always turned on by default. In the Google Admin console, open Directory > Directory settings > Sharing settings, turn on Contact sharing and save. It can take up to 24 hours before the contacts appear for everyone.
Why are some people skipped as "Already in Google Workspace"? Their email address already belongs to a colleague or another shared contact. The plugin leaves the existing one alone and tries again on every sync.
Can I edit a synced contact in Google Workspace? You can, but the next sync replaces your change with the data from Crisp. Make changes in Crisp instead.
The settings show "Connection lost". What now? The admin who connected may have lost the super admin role, left, or removed the plugin's access. Press Connect Google Workspace and sign in with a super administrator; your settings are kept.
Can several Crisp websites use the same Google Workspace domain? Yes. Each website manages only its own contacts.
